How to Archive All Emails in Gmail (Inbox, Promotions, or Older Than)

If your Gmail inbox feels unmanageable, archiving is the safest “reset button”: emails disappear from your Inbox but stay searchable in All Mail.

This guide walks through the fastest ways to:

  • Archive everything in your Inbox
  • Archive Promotions / Social in bulk
  • Archive emails older than a date

Before you start: Archive vs Delete

  • Archive = remove from Inbox, keep forever (searchable)
  • Delete = move to Trash (auto-deletes after 30 days)

If you’re not 100% sure, archive first.


1) Archive all emails currently visible (fast, but limited)

  1. Open Gmail on desktop.
  2. Go to Inbox.
  3. Click the top-left checkbox (selects the page).
  4. Click Archive.

Limit: Gmail only selects what’s on the current page (usually 50–100 emails). For thousands of emails, use the next method.


2) Archive all emails in Inbox (the “Select all conversations” trick)

  1. In Gmail (desktop), click the top-left checkbox.
  2. Gmail shows a message like “All 50 conversations on this page are selected.”
  3. Click the link: “Select all conversations that match this search.”
  4. Click Archive.

Make it safer (recommended)

Instead of doing this on plain Inbox, narrow it first:

  • Archive only Promotions: category:promotions
  • Archive only Social: category:social
  • Archive only older mail: older_than:1y (or older_than:6m)

Then use the same Select all conversations link.


3) Archive emails older than a specific date

Gmail supports date filters:

  • Before a date: before:2025/01/01
  • After a date: after:2025/01/01

Example: archive everything before 2025:

before:2025/01/01

Then:

1) select checkbox → 2) Select all conversations → 3) Archive.


4) Archive all emails from one sender

Search by sender:

from:billing@somecompany.com

Then use:

1) checkbox → 2) Select all conversations → 3) Archive.
